Plan a weekly meeting across time zones
This tutorial finds a weekly meeting time for a team spread over three cities, then sends the invite.
Find the time and send the invite
- Add the cities. Open the converter and add each team member’s city. See Add, remove and reorder cities.
- Choose the day. Use the date and time box to pick the day the meeting will usually be on.
- Scan for red. Drag the vertical line along the timeline and look for a position where every row is red. If none exists, choose the position with the fewest grey boxes, and avoid anywhere a city is dark.
- Check the next few weeks. Change the date to the following weeks. Watch for a DST badge, which means the gap between cities will change, and for holiday marks on any date. See Daylight saving time and Holidays and weekends.
- Save the team. Sign in and save the cities as a preset so you can load them next time. See Save city lists as Team Presets.
- Send the invite. Click Create Meeting, give it a title and a length, and choose your calendar. See Create a meeting and export it.
- Share the view. Click Share and paste the link into your team chat, so everyone can see the time in their own city.
Keep it fair
Note
If one person is always left with the awkward hour, rotate the time every few weeks. Moving the line is quick.
